Executive assistant

Location : Montreal – Hybrid mode (100% teleworking possible)

Job overview

Your daily challenge

  • Support the work of the targeted associates and advisors by assisting them with activities (agenda management, meeting planning, preparation of documents, etc.) and by solving administrative or operational problems
  • Assist the management committee and other committees in all of their responsibilities, in the evolution of various mandates or files and follow up with the various stakeholders
  • Analyze incoming correspondence and identify actions, draft and sign general correspondence
  • Receive, screen and route mail, telephone calls and visitors. Identify emergencies and priorities
  • Coordinate and support travel arrangements (transportation, accommodation, etc.)
  • Participate in the organization of meetings, attend them, take note of the exchanges and write minutes reflecting the spirit of the discussions and decisions made and ensure follow-up
  • Participate in business development: attend the business development committee and follow up on actions, develop and maintain the business network, contribute to the preparation of service offers
  • Carry out various activities related to the proper functioning of the office
  • Work in close collaboration with other members of the administrative support team

Your profile

  • DEC in office automation, secretarial or a relevant field
  • 5 to 8 years experience in a similar position
  • Excellent written and oral communication skills
  • Strong work ethic and professionalism
  • Thoroughness and attention to detail
  • Ability to prioritize and manage deadlines
  • Autonomy and ability to work on several projects simultaneously
  • Curiosity, versatility and adaptability
  • Sense of initiative and responsibility
  • Ability to synthesize and anticipate needs
  • Mastery of MS Office software (Outlook, Teams, PowerPoint, Word, Excel)
  • Mastery of written and spoken French
  • Mastery of written and spoken English, an asset
